Share files and folders in iCloud Drive on iCloud.com
You can share files and folders in iCloud Drive so other people can view and edit them. You can also allow participants to add people to a file or folder. To learn more about the roles of owner and participant, see What can you do in a shared file or folder on iCloud.com?
Note: If you have shared Pages, Numbers or Keynote files in iCloud Drive, you can view and edit them using Pages, Numbers or Keynote on iCloud.com.
Share files and folders
In iCloud Drive on iCloud.com, select the file or folder you want to share, then click .
Click Share Options, then choose who can access the file or folder, who can make changes, and if participants can add people to the file or folder.
Choose how you want to share the link:
Email: click Share. In the email window that appears, add the email addresses of the people you want to share with, make any additional edits, then click Send. The email option is only available when you have iCloud Mail turned on.
Copy Link: after you select Copy Link, a text box appears. Add the email addresses or phone numbers the people you want to share with, then click Share. A new window appears with the link for your file. Copy the link and send it.
Important: The link is not sent automatically. You have to send the link to the person you want to share with.
When you share a folder, only the participants can view the files in the shared folder. To invite more people to access the files, you must change the settings of the shared folder. You cannot select an individual file or folder within the shared folder and add participants to it.
Manage sharing if you are the owner
If you own a file or folder, you can manage participants and sharing settings.
Note: You cannot change the sharing settings for an individual file in a shared folder. You must change the settings of the folder.
In iCloud Drive on iCloud.com, select the shared file or folder.
Click , then do any of the following:
Add participants: click Add People or Send Link.
Remove participants from a privately shared item: hold the pointer over the person’s name, then click and choose Remove Access.
Edit sharing options for a participant of a privately shared item: hold the pointer over the person’s name, then click and choose an access level (Can Make Changes or View Only).
Edit sharing options for everyone: click Share Options.
Copy the link to the shared file or folder: click Copy Link.
Click Done.
Add or remove people if you are a participant
If the owner of a file or folder allows it, participants can add other people to a shared file or folder. However, they cannot manage the sharing settings of the people they add.
Participants can also remove any person except the owner.
In iCloud Drive on iCloud.com, select the shared file or folder.
Click , then do any of the following:
Add participants: click Add People or Send Link.
Remove participants: hold the pointer over a person’s name, then click and choose Remove Access.
Click Done.
Remove yourself from a shared file or folder
If you are a participant, you can remove yourself from a shared file or folder.
In iCloud Drive on iCloud.com, select the file or folder you want to remove yourself from, then click .
Hold the pointer over your name, then click and choose Remove Me.
Stop sharing files or folders
You must be the owner of the shared file or folder to stop sharing it.
In iCloud Drive on iCloud.com, select the file or folder.
Click , then do one of the following:
Stop sharing with all participants: click Share Options, then click Stop Sharing.
Stop sharing with just one participant: hold the pointer over the person’s name, then click and choose Remove Access.
If you stop sharing or delete a shared folder, the participants can no longer view or edit the files in the folder.
To stop sharing a file in a shared folder without changing the folder settings, you can move the file to a folder you have not shared.
